Different limits and expiration period applied for Microsoft Teams capabilities

Microsoft Teams provides multiple features such as persistent chat, presence, voice/ video call, meeting, application sharing, file sharing, phone system, application integration and so on. In Microsoft Teams, every workload has a different maximum limit set by Teams (backend) services. This blog post will elaborate maximum limit and expiration for Teams meeting, attendee limit, chat, Live events, storage limit, PowerPoint file upload in the meeting, file store, etc.

As an admin or even Teams user, you must know when and how Teams expiration and the maximum limit applies.  Refer to the below details for each workload with their limitation.

What are the Teams meeting and calls expiration limit?

Microsoft Teams does provide different meeting scenarios, and every meeting scenario has a different expiration period defined. For example, Teams’ regular meeting conference ID expires after start time plus 60 days. So, after meeting expiration, if the user tries to join Teams meeting by dial-in to conference ID, they will hear the message that the conference ID entered is not valid.

1. Teams Meet now – this type of meeting expires after start time plus 8 hours; this meeting scenario does not extend the expiration period, as this is an ad-hoc meeting.
2. Regular meeting with no end time – this type of meeting expires after start time plus 60 days, and this meeting scenario does extend the expiration period each time when user start or update a meeting, that extends meeting expiration to 60 days.
3. Regular meeting with end time – this type of meeting expires after meeting end time plus 60 days, and this meeting scenario does extend the expiration period each time when user start or update a meeting, that extends meeting expiration to 60 days.
4. Recurring with no end time – this type of meeting expires after start time plus 60 days; this meeting scenario does extend the expiration period each time when the user start or update a meeting, that extends meeting expiration to 60 days.
5. Recurring with end time – this type of meeting expires after the end time of the last occurrence plus 60 days, and this meeting scenario does extend the expiration period each time when user start or update a meeting, that extends meeting expiration to 60 days.

What is the maximum number of participants join in Teams meeting?

In any Teams meeting for any given time, the number of people in a meeting is 1000 irrespective of Dial-in join or through Teams app (Windows, macOS, Mobile or Web). That means number of people in a meeting (can chat and call in) is 1000, includes GCC, GCCH, and DoD, but not A1 (300). View-only allows for up to 20,000 listen-only participants to join a meeting in which the organizer has a license for E3/E5/A3/A5 SKU, as well as Government (GCC, GCC High, DoD). The view-only experience will soon be available for webinars as well.

It is highly recommended for using the latest version of Teams desktop client or Teams mobile clients to have the best experience in large meetings, webinars, and live events. Also, presenters in large meetings, webinars, and live events should use the Teams desktop client.

Another limitation specific to the Teams audio or video call that starts from chat are 20 participants.

For larger meeting scenarios, including All-Hand or Organization-wide meetings, use the Teams Live event, which is scalable up to 20K attendees with limited interaction.

Note: Breakout rooms can only be created in meetings that have fewer than 300 attendees. In addition, creating breakout rooms in a meeting automatically limits the number of meeting attendees to 300. So it is important to inform end-users to not initiate breakout rooms in meetings where they expect more than 300 participants.

Note: There is no limit set on how many Teams meeting can host in one Office, 365 tenants.

What is the maximum PowerPoint presentation file size allowed in a Team meeting?

Teams allow sharing content in Teams meeting and peer-to-peer calls. You can share and present the PowerPoint presentation in Teams meeting; however, there is a specific file size limit allowed that is up to 2 GB. You cannot share or upload over 2 GB PowerPoint presentations in Teams meeting.

What is the maximum audience limit of Teams’ live event?

Microsoft Teams live event uses for large broadcast meetings such as all-hands meetings. The Live event audience size maximum limit is 10,000 attendees. The live event’s maximum duration is 4 hours. You can schedule as many Live Events as you want, but you can only run 15 at a time in Microsoft (Office) 365 tenant. As soon as the producer joins a live event, it’s considered to be running. The producer who attempts to join the 16th live event gets an error.

Note: Microsoft 365 Teams live event attendee limit is temporary increased through June 30, 2022. Increased attendee limit event support for up to 20,000 attendees and up to 50 events can be hosted simultaneously across a tenant with event duration of 16 hours per broadcast.

Additionally, for larger audience Live Events with up to 100,000 attendees can be planned through the Microsoft 365 assistance program. The team will assess each request and work with you to determine options that may be available.

What is the maximum limit in Teams and channels?

Microsoft Teams does have a maximum limit specified for Teams and channels features. Here is the list of features with their limit.

• Then the number of the team a user can create is the maximum of 250 object limits. Means user can create a maximum of 250 teams. Remember, the 250-object limit is depending on any directory object in Azure Active Directory (AAD) counts towards this limit. Also, Global admins are exempted from this limit.
• The maximum number of teams a user can be a member of up to 1,000. So individual users cannot be part of more than 1000 Teams.
• The maximum number of members in a team is 25,000. (The earlier limit was 10,000 members, and recently Microsoft has increased the member limit). Teams in GCC can accommodate 25,000 members but teams in GCCH/DoD can only accommodate 2,500 members. Further note that teams/channel mentions are blocked in teams with over 10,000 members.
• The maximum number of owners per team is 100. It is best practice to have more than 2 owners in a team to handle a single point failure situation.
• The number of org-wide teams allowed in any Teams tenant organization is 5. So, use the Org-wide team wisely. Remember this limit is including archived Teams.
• The number of members in an org-wide team is 10000. So, you cannot more than 10000 members in one Org-wide team (Earlier limit was 5000 members).
• The number of teams a global admin can create is 500,000. You need to keep in mind this limitation while creating any automation.
• The number of teams can be created in Microsoft (Office) 365 tenant is 500,000. This limit includes archived teams. In case you want to increase limit, you should contact Microsoft support and request further increase to the number of Azure Active Directory objects in your tenant. Increase is only made for real-life production scenarios.
• The number of channels per team can have up to 200 includes deleted channels. Private channel limitation 30 including deleted channel. Deleted channels can be restored within 30 days. During these 30 days, a deleted channel continues to be counted towards the 200 channel or 30 private channel per team limit. After 30 days, a deleted channel and its content are permanently deleted, and the channel no longer counts towards the per team limit.
• Another significant limitation specifics to groups are the maximum size of distribution list, security group or Office 365 group that can be imported into a team are 3500 groups.
• Maximum number of members in an Office 365 group that can be converted to a team are 10,000.
• Channel conversation post size are approximately 28 KB per post. Remember that the 28 KB is an approximate limit because it includes the message itself (text, image links, etc.), @-mentions, number of connectors, and reactions.

Microsoft Teams chat limitation:

In Teams, users who participate in chat conversations must have an Exchange Online (cloud-based) mailbox for an admin to search chat conversations. That’s because conversations that are part of the Chat list are stored in the cloud-based mailboxes of the chat participants. If a chat participant doesn’t have an Exchange Online mailbox, the admin won’t be able to search or place a hold on chat conversations. For example, in an Exchange hybrid deployment, users with on-premises mailboxes might be able to participate in conversations that are part of the chat list in Teams. However, in this case, content from these conversations is not searchable and cannot be placed on hold because the users don’t have cloud-based mailboxes. So, keep this limitation in mind when you are using an Exchange hybrid environment.

• Teams chat works on an Exchange backend, so Exchange is messaging limits apply to the chat function within Teams as well. The number of people in a private chat is a maximum of 250. If you have more than 20 people in a chat conversation, then the chat features such as Outlook automatic replies, Teams status messages, typing indicator, video, and audio calling, sharing, and read receipts are turned off. Additionally, the “Set Delivery Options” button (!) is also removed when private group chats contain more than 20 members.
• Another limitation is for files, the number of file attachments in a chat conversation is 10. If the number of attachments exceeds this limit, then the chat participant will see an error message.
• Another limitation for number of people in a video or audio call from chat are 20 members.
• Next limitation for attachment if number of file attachments are 10, however if the number of attachments exceeds 20 limits, the you will see an error message.
• In Teams chat size limitation is approximately 28 KB per post. Since 28 KB is an approximate limit because it includes the message itself (text, image links, etc.), @-mentions, and reactions.

Teams Emailing a channel limitation:

Sending an email to the team is frequently getting used. If users want to send an email to a channel in Teams, they use the channel email address. When an email is part of a channel, anyone can reply to it to start a conversation. Here are some of the applicable limits for sending email to a channel.

• The message size limitation is 24 KB, If the message exceeds this limit, a preview message is generated, and the user is asked to download and view the original email from the link provided.
• The next limitation is for the attachment; the number of file attachments limit is 20. If the number of attachments or images exceeds this limit, the user will see an error message.
• The attachment size of each file is up 10 MB. So cannot attach more than 10 MB file as attachment while sending to Teams.
• Another limitation for the number of inline images is 50 images.

Note: Message size, file attachments, and inline images limits are the same across all Office 365 licenses.

What is the limitation for Teams channel names?

Microsoft Teams channel names can’t contain the characters or words such as characters ~ # % & * { } + / \ : < > ? | ‘ ” and characters in ranges 0 to 1F and 80 to 9F.

Additionally, the words that do not allow including, forms, CON, CONIN$, CONOUT$, PRN, AUX, NUL, COM1 to COM9, LPT1 to LPT9, desktop.ini, _vti_ Also, Teams channel names cannot start with an underscore (_) or period (.), or end with a period (.).

Microsoft Teams file storage limitation

Every team that created in Microsoft Teams has a team site in SharePoint Online, and each channel in a team gets a folder within the default team site document library. Files shared within a conversation are automatically added to the document library, and permissions and file security options set in SharePoint are automatically reflected within Teams.

If you don’t have SharePoint Online enabled in your tenant organization, then Teams users cannot always share files in teams. Users in private chat also cannot share files because OneDrive for Business (which is tied to the SharePoint license) is required for that functionality. So, whatsoever compliance rule configured for SharePoint and OneDrive for Business will apply to teams as well. What that means is by storing the files in the SharePoint Online document library, and OneDrive for Business, all compliance rules configured at the tenant level will be followed.

Microsoft Teams file sharing runs on a SharePoint Online backend, which means SharePoint limitations for file sharing apply to the files section within a Team. Table 1 shows the different Office 365 licenses plan with features and storage limits.
