Skype for Business status not updating as per Free/Busy information?

Basically, Skype for Business client get calendar meeting information from Exchange via Exchange Web Service. So, when Skype client retrieves the free/ busy information (calendar data) from Exchange, same is applied to presence by Skype for Business. This data information frequency is controlled by the CalendarStatePublicationInterval parameter in the Skype Client Policy.

There is plenty reason behind Skype client status not updating as per Outlook calendar.

Here are the common resolution steps:

Note: You must have email account and outlook installed and configured.

Step 1: First make sure you have correctly set personal information manager option in Skype for Business. This option allows you to make your presence automatically show when you are in meeting.

Follow the below steps to set Exchange and Outlook integration options correctly:

Login to Skype for Business client and then select Tools > Options > Personal > Under Exchange and Outlook integration, select the Update my presence based on my calendar information check box. To specify who can see this information, use the following settings:

  1. To show this information to contacts in your Workgroup, select the Show meeting subject and location to contacts in my Workgroup privacy relationship check box.
  2. To show your Outlook Out of Office information to contacts, select the Show my Out of Office information to contacts in my Friends and Family, Workgroup, and Colleagues privacy relationships check box. Clear the check box to hide your Out of Office information from all your contacts.
  3. To save your conversation history or phone call history in Outlook, Under Exchange and Outlook integration, select the Save IM conversations in my email Conversation History folder check box or the Save call logs in my email Conversation History folder check box. Clearing these check boxes means that your instant message history and phone call history are not kept. Refer above image.

Step 2: Check your Client policy and see what values set for Skype for Business client policy parameters including “DisableCalendarPresence”, “CalendarStatePublicationInterval”, “WebServicePollInterval”, “MAPIPollInterval”. You can modify the parameter values by running Set-CsClientPolicy command let

Example to set interval as 5 minutes, the cmdlet would be running is Set-CsClientPolicy -CalendarStatePublicationInterval 300.

Step 3: For the best experience, add your Exchange email account to Outlook and then set it as the default mail profile. Typically, your Outlook email address (SMTPAddress) and Skype (Lync) sign-in address will be the same, but in some cases, they may be different. If possible then make Email address and Sign-in address same to show free/busy information correctly.

Step 4: Check if Skype (Lync) discovering correct Exchange Web Service URL.

  1. Press and hold Ctrl, right-click the Skype (Lync) icon in the notification area, and then click Configuration Information. Look for the Exchange Web Services (EWS) URLs in configuration information for EWS Internal and External URL and make sure to correctly shows these URLs. See the below example for these URLs.
    1. Typically, External EWS shows: https://domain name/EWS/Exchange.asmx
    2. Internal EWS shows: https://domain name/EWS/Exchange.asmx

This is Microsoft Online URL: https://outlook.office365.com/EWS/Exchange.asmx/WSSecurity

  1. Enter the EWS External URL address into a browser. If you’re prompted, enter your Exchange mailbox credentials. You should see the EWS XML document displayed in the web browser as shown in the following picture. This indicates that EWS can be accessed and that you shouldn’t be experiencing any issues. If the page doesn’t display or if you’re denied access, contact your IT Support Team.

Step 4: Delete the Skype for Business cache information

In Skype for Business sometimes the cache causes the problem which affect outlook calendar information not show in Skype for Business and its best to remove the cache.

  1. Exit Skype for Business client.
  2. Press Win + R, and then type in the %localappdata%\Microsoft\Office\16.0\Lync\ path and press Enter. If you have Office 2013 then type path: %localappdata%\Microsoft\Office\15.0\Lync.
  3. Inside the Lync folder you will see [email protected] profile simply Delete the sip profile folder in it.
  4. Sign-in to Skype for Business and check Calendar information.
