How to customize Microsoft Teams meeting email invitation?

Microsoft Teams has rich meeting capabilities for distributed attendees who connected meeting across all locations, devices, and meeting environments with a fully collaborative experience beyond phone calls, video conferences, and other meeting events. Using this rich meeting capabilities, you can customize meeting invitation with helpful information for users by adding links to support website and legal disclaimer, company logo, and footer text you want to include. This article will help you in customizing Teams meeting invite.

Adding company logo to your meeting invite will help in for branding your company identity. Now question is how do I create company logo URL?

 You can simply, create an image that is no more than 188 pixels wide by 30 pixels tall (it’s quite small) and save the image in JPG or PNG format then store the image in a central location that everyone in your business can access (internal and external people if required), such as a network share, website,  shared OneDrive for Business folder, Dropbox, and so on.

Now customize your meeting invitations with logo URL, help link, legal disclaimer and footer text. Follow the below steps:

  1. Login to Microsoft Teams and Skype admin portal by accessing URL (https://admin.teams.microsoft.com).
  2. In the Microsoft Teams admin center, choose Meetings > Meeting settings.
  3. Update the following information
  4. Logo URL – Enter the URL where your logo is stored. Remember that it must be in JPG or PNG format! As an example using my blog logo url.
  • Legal URL – If your organization has a legal website that you want people to go to if they have legal concerns, enter the URL here. As an example refer the below image.
  • Help URL – If your organization has a support website that you want people to go to if they have problems, enter the URL here. As an example refer the below image.
  • Footer – Enter a text-only footnote that is appropriate for your users. As an example, I am using footer “Non-disclosure agreements may apply for all form of communication.” Refer below image to see how it look as combine page.
Customize Email Invitation

Click on “Proview invite” to see how email invite going to be look like. Refer below image as an Invite.

  • Select Save.

After saving the setting you must wait an hour or so for the changes to get populated across all Office 365 services. Then go to Microsoft Outlook and schedule a Teams meeting to see what your changes look like.
