How does Microsoft Teams Presence status work?
Microsoft Teams has natively integrated with Office 365 apps, and the user can leverage Teams functionality through different apps. For example, using Microsoft Outlook, users can see the presence status information of Teams user and can start to chat with the user, which will open Teams chat in Teams app.
Presence is part of a user’s profile in Microsoft Teams and all through Office 365 that indicates the user’s current availability and status to other users. By default, anyone in your organization using Teams can see (in nearly real-time) if other users are available online.
Teams app supports multiple presence status with different colors such as Available as green, Busy as red, Away as yellow, Offline as the cross mark, etc. These presence statuses divided into two types, user manually configured status, and Teams app configured presence status automatically. Teams app configured status automatically changes based on the activity happens; below are some general activities.
- Teams app automatically configured presence states are based on user activity like, Available, Away, Outlook calendar states (In a meeting), or Teams app states (In a call, Presenting).
- When a user locks their computer or when it enters idle or sleep mode, their Teams status auto changes to Away. On the Teams mobile app, users’ presence status changes to Away whenever the Teams app is in the background.
- Specific to the chat message concern, users receive all chat messages sent to them in Teams app regardless of their presence state. If a user is offline when someone sends them a chat message, the chat message appears in the Teams app the next time the user is online. If a user is in Do not disturb, the user will still get chat messages, but banner notifications will not be displayed.
- For Teams call, the user will receive a call in all presence states except for Do not disturb, in which incoming calls go to voicemail. If the recipient blocked the caller, the call won’t be delivered, and the caller sees the recipient’s presence as Offline.
Teams natively support status information based on the situation, here is the list of presence status supported by Teams including user manually configured and Teams app auto-configured presence status.
Teams Presence information does not show in Outlook:
There might be different reasons for Teams’ presence status not shown in Outlook, like unsupported outlook client, Teams and Outlook client connectivity lost, etc. If you are facing such issues, then follow the below steps to fix the issue:
- Then first check if your Outlook version is supported, Teams presence in Outlook is supported on the Outlook 2013 desktop app and later. If you are running older outlook version, then time to update Outlook version. It is best practice to run updated version app
- Most of the time, Outlook presence issue resolves after starting Teams app and Outlook both and the starting Teams app first and then Outlook.
- Make sure you have registered Teams as the chat app for Office apps including Outlook, to do so, login to Teams desktop client > click on profile picture and then select Settingsand click on General Under Application, check the “Register Teams as the chat app for Office (requires restarting Office applications).” Refer below figure. You need to restart your Teams app and Outlook and then open Teams app and sign-in and the open Outlook.
- Make sure online outlook status is enabled. To do so, open Outlook, click file > Options > People > under “Online status and photographs” enable “Display online status next to name” and the restart outlook and Teams app and the start Teams and then Outlook. Refer to the below figure.
- If the issue does not resolve, then uninstall and reinstall Outlook and Teams app and on the user’s computer.
